Complaint Policy

Purpose:

The purpose of Jupiter Cosmetics’ complaints policy is to establish a transparent approach to handling all negative feedback and complaints to ensure complaints are resolved promptly and fairly.

Sometimes things go wrong, and we aim to establish a safe and welcome environment where our patients feel comfortable and know how to submit feedback.

All complaints and feedback are met with understanding and will be taken seriously, investigating the issue, ensuring fairness, ultimately resolving the complaint made.

Feed back and complaints are welcomed to ensure we deliver the highest standard of care, and this gives us the opportunity to review our delivery of services and procedures.

Who can make a complaint?

Any person who has been affected directly by an action or omission arising from any interaction with our clinic.

How to make a complaint?

Complaints may be made via telephone, email or in person; these can be verbal or in written form.

All correspondence from incidents and complaints will be kept in the client file.

A written record of the complaint will be kept, describing the issues for investigation. We implore the person raising a complaint to please provide as much detail as possible including the following.

  • Date, time and location of incident
  • Events of incident in detail
  • Any persons/staff members involved in the incident.
  • Contact details of the complainant so we can include in resolution.

Complaints Process

When a complaint is received it is placed into treatment or non-medical categories. Non-Medical categories will be resolved by management, treatment categories will be resolved with the supervising practitioner or medical directors.

The complainant will be contacted to provide further information and clarify the events on the day, including any misunderstandings or other contributing factors. This also allows us to determine a way in which we can resolve this complaint that satisfies the complainants expectation and provides a fair and equitable outcome for all persons involved.

The complainant will be advised of the outcome of the complaint and ways in which we aim to avoid this situation in the future.

Unsuccessful Resolution

If we are unable to resolve a complaint through discussion, mediation and resolution processes or the complainant is dissatisfied with the complaint resolution they may escalate their complaint further to the ACCC, Health and Disability Services Complaints Office, the Radiation Council of WA or AHPRA, depending on the nature of the complaint.

We are happy to help you proceed with this in the unfortunate event we are unable to assist.

Learning and Reflection

We aim to learn and grow from all experiences positive and negative, every situation we encounter gives us the ability to make improvements to ensure that every person receives appropriate, safe, and reliable care.

Your complaint or feedback may provide recommendations that help us improve our service delivery and ensure that we are able to serve you and others with the highest standard of care.

Responsibilities

Non-Medical Complaints or feedback – our management team will assist.

Treatment related complaints – The supervising Practitioner will review the complaint report to the Directors – Dr Michael Gendy and Katie McLaren Nurse Practitioner.
